Who we are

Optical Technologies Limited ("we", "us") operates the O4QR product authentication platform. Registered in England and Wales. Contact: privacy@o4qr.com

Data we collect and why

Account holders (manufacturers / brand owners)

Name, email, company name — to create and manage your account
Usage data (QR batches generated, exports, logins) — to provide the service and detect abuse
Billing contact details — to fulfil your subscription

End consumers (people scanning your product QR codes)

IP address and approximate location — to detect counterfeit activity (impossible-travel, clone detection)
Scan timestamp and device type (user-agent) — to log verification events
GPS coordinates — only if you explicitly grant permission when prompted

Scan data is collected on behalf of the brand owner whose product you scanned. The lawful basis is legitimate interests in product security and fraud prevention.

Contact form enquiries

Name, email, message — to respond to your enquiry. Kept for 12 months then deleted.

Cookies

We use only strictly necessary cookies — a session cookie and a security (CSRF) token. These are required for the site to function and do not require consent under UK GDPR. We do not use advertising, analytics, or tracking cookies.

Data retention

Scan logs — 180 days by default (configurable by the brand owner)
Account data — for the duration of your subscription plus 90 days
Contact messages — 12 months
Counterfeit reports — 12 months

Your rights (UK & EU GDPR)

You have the right to access, correct, or erase your personal data; to restrict or object to processing; and to data portability. To exercise any right, email privacy@o4qr.com. We will respond within 30 days.

You also have the right to lodge a complaint with the ICO (ico.org.uk).
